How to Use the Time Zone Meeting Planner

This planner answers the two questions travelling professionals ask before every trip: when will I actually land, and when can I meet? It works as a flight time zone calculator, a world clock meeting planner, and a quick jet lag check, all from one form.

    1. Enter your route and departure. Pick the origin and destination cities, then the departure date and time exactly as printed on your ticket, which is always local time at the departure airport. Add the flight duration. If you change planes, tick the layover box and add the stopover city, the time on the ground, and the second flight.
    2. Read the Flight Itinerary tab. It shows your local arrival time and date, how the clocks change on each leg, the total travel time, and what time your body thinks it is when you land.
    3. Switch to the Meeting Planner tab. Each city’s 24 hours are lined up against the same moments, with your flight blocked out. Add up to two remote team locations under Meeting planner options to find a slot that works for everyone.

How to Calculate Flight Times Across Time Zones

Airlines print departure and arrival times in the local time of each airport, while the flight duration is the real time spent travelling. That gives a simple rule for any flight time calculator with time zones:

Local arrival time = local departure time + flight duration + the time difference between the two cities.

Example: a New York to London flight leaves JFK at 7:30 PM and takes 7 hours. That is 2:30 AM in New York when you land. London is 5 hours ahead, so the arrival time on the board at Heathrow is 7:30 AM the next morning.

The time difference is the part people get wrong, and it is rarely a fixed number.

Daylight saving time changes the gap

The United States moves its clocks on the second Sunday in March and the first Sunday in November. The UK and the EU change on the last Sunday of March and of October. For a few weeks each spring and autumn, New York is four hours behind London instead of five. Many places never change their clocks at all, including the Gulf states, India, most of Asia and Africa, and Arizona. A time zone calculator for flights has to know which rule applies on your exact date. This one uses each city’s official time zone rules, so results stay correct through those transition weeks.

    Half-hour and 45-minute time zones

Not every offset is a whole hour. India is UTC+5:30, Nepal is UTC+5:45, Newfoundland is UTC−3:30, and Adelaide is UTC+9:30 (UTC+10:30 in the Australian summer). Mental arithmetic is often 30 minutes out for these; the planner calculates them directly.

    Crossing the International Date Line

Fly west across the Pacific and you lose a calendar day: leave Los Angeles late on Monday night and you land in Sydney on Wednesday morning. Fly east and you can arrive “before” you left. A Sydney to Los Angeles flight that departs at 11:00 AM on Saturday lands around 7:30 AM the same Saturday. The itinerary flags both cases so a date change does not catch you out when booking a hotel or a transfer.

Finding the Best Meeting Time Across Time Zones

The Meeting Planner view puts each location’s day side by side. Green cells fall inside working hours, amber cells are early mornings and evenings most people will accept for an occasional call, and grey cells are night. A column outlined in green is an hour when everyone is at work. That is the slot to look for when you schedule a meeting across time zones, and the planner lists it below the grid. If no such hour exists, it suggests the least disruptive compromise instead.

Shared working hours shrink fast as the distance grows. Assuming a 9:00 to 17:00 day in each city:

City pairTime differenceShared 9–5 hoursWorkable slot
    New York – Los Angeles3 h5 h12:00–17:00 NY / 9:00–14:00 LA
    London – Dubai3 h5 h9:00–14:00 London / 12:00–17:00 Dubai
    New York – London5 h3 h9:00–12:00 NY / 14:00–17:00 London
    London – Mumbai4.5 h3.5 h9:00–12:30 London / 13:30–17:00 Mumbai

    Sydney – London9 hNone17:00 Sydney / 8:00 London
    New York – Tokyo13 hNone20:00 NY / 9:00 Tokyo next day

Figures are for July. In the northern winter, gaps between Europe or the US and places that keep the same time all year (the Gulf, India, Singapore, Japan) widen by an hour. Sydney to London widens to 11 hours, because Australia starts its summer time just as the UK ends it.

Rules that keep global meetings fair

    • Rotate the awkward slot. If one office always takes the 7 AM or 9 PM call, alternate it each month.
    • Protect the overlap. Two or three shared hours are your team’s most valuable time. Use them for discussion and decisions, and handle status updates in writing.
    • Check the working week. In Saudi Arabia, Qatar and Israel the week runs Sunday to Thursday. The UAE moved to Monday to Friday in 2022, with a shorter Friday. A Friday slot that suits London may land on someone’s weekend.
    • Write every time zone into the invite when more than two regions attend, or give the time in UTC.
    • Re-check recurring meetings after clock changes. A call set up in March can shift by an hour for part of the year.

Scheduling Meetings Around a Long-Haul Flight

When you are the one travelling, the meeting grid’s bottom row marks the hours you will be in the air or on a layover, so you can see which slots are off the table. A few practical points:

    • After an eastbound overnight flight, most people are sharpest from late morning. Avoid an 8 AM pitch on arrival day.
    • After a westbound flight you will tend to wake early and fade in the evening, so book the important meetings in the morning.
    • Leave two to three hours between scheduled landing and a first commitment to cover immigration, baggage and the airport transfer.
    • Tight connection? Check it with the Flight Connection Risk Calculator, and plan longer stopovers with the Layover Survival Planner.

    Reading the Body-Clock Shift

The clock difference between two cities is not always the adjustment your body has to make. When the gap is more than 12 hours, the planner takes the shorter way round. Los Angeles to Sydney is 18 hours ahead on the clock in October, but your body treats it as a 6-hour shift later. That shorter figure drives the risk rating, which runs from minimal (under 3 hours) to severe (9 hours or more). Use it to decide how much slack to leave before your first important meeting.

This page covers the time zone side of a trip. For how long recovery usually takes, read How Long Does Jet Lag Last?, and for a day-by-day sleep and light schedule built around your flight, use the Jet Lag Planner. Frequently Asked Questions

How do I calculate my arrival time in a different time zone?expand_more
Add the flight duration to your local departure time, then add the time difference between the two cities (or subtract it if the destination is behind). For example, leaving New York at 7:30 PM on a 7-hour flight puts you in London at 7:30 AM the next day, because London is 5 hours ahead. The planner does this automatically and accounts for daylight saving time on your travel date.
Are flight departure and arrival times shown in local time?expand_more
Yes. Airline tickets, boarding passes and airport boards always show local time at each airport. The flight duration printed on the ticket is the actual time in the air, which is why arrival time minus departure time rarely equals the duration on long-haul routes.
Why does my flight land before it took off?expand_more
When you fly east across the International Date Line, for example from Sydney or Tokyo to the US West Coast, local clocks at your destination are behind the clocks you left by more than the length of the flight. A Sydney to Los Angeles flight leaving at 11:00 AM on Saturday lands around 7:30 AM on the same Saturday.
What is the best time for a meeting across the US, Europe and Asia?expand_more
There is no hour that falls inside a normal 9 to 5 day in all three regions. The usual compromise is early morning in Europe, which is late afternoon in Asia and the previous evening on the US East Coast, or late evening in New York for a next-morning Asia call. Add your exact cities to the Meeting Planner tab to see the least disruptive slot, and rotate who takes the inconvenient hour.
How does daylight saving time affect meeting times?expand_more
Countries change their clocks on different dates, and many never change them. The US switches in early March and early November, while the UK and EU switch in late March and late October, so the New York to London gap is four hours for a few weeks each year. A recurring meeting set in one season can move by an hour for some attendees in the next. Check the date you need in the planner rather than relying on a fixed offset.
How do I schedule a meeting with people in different time zones?expand_more
List every attendee’s city, line up their working hours against the same moments, and look for hours where all of them overlap. In this planner, add up to two team cities under Meeting planner options and open the Meeting Planner tab: hours outlined in green are inside everyone’s working day. If none exist, it shows the least disruptive compromise, and that slot is the one to rotate between offices.
Which time zone should I use in a meeting invite?expand_more
Create the event in your calendar app with the correct time zone set, and it will convert the time for each attendee automatically. When you write the time in the body of an email or chat message, list it in each attendee’s local time, or give it in UTC if more than two regions attend. Avoid abbreviations like CST or IST on their own, since they can refer to more than one time zone.
Does the planner handle half-hour time zones like India and Nepal?expand_more
Yes. It uses each city’s official time zone rules, including India (UTC+5:30), Nepal (UTC+5:45), Adelaide (UTC+9:30, or +10:30 in summer) and places that never observe daylight saving time, such as Phoenix, Dubai and Singapore.
